Requests and grievances
The request log tracks every request from people about their personal data, and every grievance, from arrival to answer.
Logging a request
Choose Requests in the client’s menu, then Log a request, whichever channel it arrived through: email, a branch, the call centre or the app. Each request gets a reference such as REQ-001. Record:
- the type: access to information, correction or updating, erasure, withdrawing consent, nominating someone, or a grievance;
- who made it, whether on their own behalf or as a parent, nominee or representative, and the inventory activities that hold their data;
- whether and how their identity was checked;
- the due date, the status, who handled it, what was done, and when it was answered;
- the reason, if it was refused, and where the evidence is kept.
Due dates
If you leave the due date blank, vDPO uses 30 days from receipt. This is a working default, not a legal deadline: the DPDP Rules ask you to publish your own response period and to answer grievances within it, in no more than 90 days.
Keeping track
The summary shows open, overdue and answered requests, and the average days taken to answer. Filter the log to open or answered requests, or download it as a CSV file. The menu badge counts open requests and turns red when one is overdue.
